What an OBM Does for You (and What They Don’t).

One of the most common conversations I have with potential clients starts with this question: “What does an OBM actually do?”
It’s a fair question since the role isn’t always clearly defined from the outside. So I want to walk you through it from my perspective. Not just what I do when I step into a business, but what you can expect (and what you shouldn’t expect) when you hire an OBM.
Because this role works best when we’re aligned from the start.
What I Do as an OBM.
When I step into a business, my focus is simple: create structure, clarity, and consistency behind the scenes so the business can grow without everything feeling so heavy.
Here’s what that actually looks like:
✨ I build and manage backend systems.
I create the workflows that keep your business moving. From client onboarding to project management to internal processes, I’m looking at how well things are and are not currently working. Then I build systems that reduce confusion, remove bottlenecks, and support your day-to-day operations. And just as importantly, I monitor those systems.
This isn’t a one-time setup, it’s ongoing refinement as your business evolves.
✨ I create systems that keep your team aligned.
If you’ve ever felt like the middle point between your team constantly answering questions, relaying updates, or checking in to keep things moving then you’re not alone. My role isn’t merely to step in and manage every conversation or oversee each task. Instead, I build a system that holds your team communication and keeps projects visible.
This means creating centralized spaces where:
Projects are clearly mapped out.
Roles and responsibilities are defined.
Timelines and expectations are visible to everyone.
So instead of relying on you (or me) to keep everything moving:
Your team knows exactly what they own.
Communication happens in one consistent place.
Projects move forward with far less friction.

Most growing businesses lack organization rather than lacking information. I take what’s currently scattered across tools, folders, and conversations and turn it into something structured and usable. Using dashboards, project management tools, or documented processes you no longer waste time digging for what you need. Instead you are able to actually see what’s happening in your business.
✨ I identify inefficiencies (and fix them).
When you are in your business every day, it’s easy to adapt to things that aren’t actually working. I come in with a different lens. I look for where time is being lost, where things are breaking down, and where systems can be simplified or automated. Then I implement solutions that support long-term growth and not just quick fixes.

This is one of the biggest shifts my clients feel. Not necessarily an immediate jump in revenue, but more capacity. More space to focus on strategy. More room to step into your role as the visionary. And more freedom to step away without everything stalling behind the scenes.
What I Don’t Do as an OBM.
What I don’t do is just as important to know because clear expectations are what make this role successful.
✨I don’t replace you as the visionary.
I’m not here to decide the direction of your business. You bring the vision, the goals, the direction. I build the structure that supports it.
Think of it as:
You set where we’re going → I make sure the business can actually get there.
✨ I don’t typically handle task-level execution.
I’m not a virtual assistant. I’m not necessarily the one:
Answering every email.
Designing graphics.
Writing content.
Instead, I focus on how that work is managed and executed. Then I make sure the right people, processes, and systems are in place for it to be completed efficiently.
✨ I don’t “fix everything overnight.”
If your business feels messy, it didn’t get that way overnight and it won’t be rebuilt overnight either.
The work I do is intentional and layered:
Understanding what currently exists.
Building systems that make sense for your business.
Refining them over time.
✨ The goal isn’t speed, it’s sustainability.
I don’t work well without visibility or communication. I can’t support what I can’t see. If information is siloed or decisions aren’t shared, it limits how effectively I can do my job. The best results happen when there’s openness, collaboration, and clear communication.

So… Is It Time to Hire an OBM?
From my experience, most clients come to me at a similar point:
